Interpreting - Terms of Reference (Effective 1 January 2008)
Working Day means any eight (8) consecutive hours beginning at or after 8am and ending before or on
6pm. Working Day begins at the moment an interpreter reports to his/her duty as instructed. Daily
Rate applies to a Working Day. Travel Days are in addition to Working Days and are charged at 50%
of Daily Rate.
While on site, interpreter shall not be required to bear any other duty such as a translator,
secretary, facilitator, tour guide, consultant, etc.
Interpreter shall be paid per diem for all days of the assignment at government-approved rate for a specific location of assignment.
Overtime means any complete or incomplete consecutive hour(s) worked after Working Day is over but
not later than 11pm on the Working Day. Hourly rate of $100 applies to any Overtime.
Unless agreed otherwise, Client is responsible for providing hotel accommodation (single occupancy
room, related service charges and taxes) and paying for the same.
Airline, railroad and/or bus tickets, taxi, subway and boat fares and related expenses are charged
at cost. Whenever necessary, car rental is used at a market rate available for compact (for 1 person)
or full-size (for 2 or more persons) car. Rental fees, insurance, gas, tolls, and other related expenses
are charged at cost.
Cancellation fee shall be paid in full at a Daily Rate if the assignment has been cancelled or its
dates have been changed and an interpreter involved is notified thereof not more than 24 hours before
the initially scheduled beginning day of assignment. In case of any cancellation or changes affecting
interpreter’s travel plans, an interpreter shall be reimbursed for any and all expenses caused by
such cancellation or changes, including, but not limited to, ticket return/change fees, reservation
cancellation/change fees, etc., if any, evidenced by appropriate receipts.
Consecutive interpreting does not include whispering or semi-simultaneous modes.
The assignment shall be considered accepted by an interpreter only upon (i) receipt of the signed
formal PO on the client’s letterhead explicitly stating the assignment parameters (including, but
not limited to, starting and ending dates and time, place, contact info, subject matter) as well as
this Interpreting - Terms of Reference section included in the formal PO by reference, and (ii) signing
and returning such formal PO to the client. Formal PO signed by both client and interpreter supersedes
any and all prior negotiations, understandings and arrangements with respect to subject matter thereof.
